Pipelines and stages: set up how your jobs flow

Create a pipeline, add stages, give each stage default tasks, and decide what customers can see.

A pipeline is a workflow, and its stages are the columns on the Kanban board. A repair pipeline might run Booked in, Diagnosing, Awaiting parts, Ready, Collected. You can have as many pipelines as you like. Pipelines need a paid plan.

Start from a template

The Pipeline Templates gallery has ready-made workflows such as Electronics Repair and Garden Maintenance. Add one to your account and then change it however you like.

Create your own

  1. Open Pipelines and create a pipeline with a name and optional description.
  2. Add stages in the order jobs move through them.
  3. Open the Kanban board from the pipeline to see it.

Pipeline options

  • Bench compatible - makes the pipeline available in Bench.
  • Allows recurring jobs - lets you attach recurring templates. See Recurring jobs.
  • Customer portal - lets customers follow their job on a link. See Share job progress with the customer portal.

Stage options

  • Customer-facing label - what customers see instead of the stage name. Your stage might be "Awaiting parts from eBay seller" while the customer sees "Awaiting parts".
  • Default tasks - tasks that are created automatically on a job when it enters the stage, so you don't add the same ones by hand each time. A task's completion can be shown or hidden on the customer portal.
  • Message on entry - offers to send a template message to the customer when a job enters this stage. See Send messages to customers from a job.

Deleting

Deleting a stage or pipeline asks you to confirm first.
